Reimbursement Information

Our commitment to a high quality, cost-effective conference

Extension’s Program Conference is a very important gathering for Extension program staff. In addition to learning new skills in technology, evaluation, marketing and other areas that improve our programs and our ability to reach our audiences, we have a chance to interact with our colleagues from across the state. To ensure that we are wise stewards of our public resources, please note the following reimbursement policies in addition to standard University of Minnesota reimbursement policies:

Hotel Reimbursement

Attendees will be reimbursed for the room rate (which is $113/night) based on two-people per room, ie. up to $57. This is a pre-negotiated conference rate with the Hilton.  If you would like your own room or did not make your reservation before the rate cut-off of September 9, you will need to cover the difference.

People who work in the metro area will need to follow University policies regarding reimbursement in the seven-county metro (Anoka, Carver, Dakota, Hennepin, Ramsey, Scott, & Washington), which does not allow for overnight lodging to be reimbursed .

Meal Reimbursement

Dinners are reimbursable up to $36 per person for employees staying overnight or meeting the Extended Day (12 continuous hours) policy. Please see University policies regarding meal reimbursement.

Mileage Reimbursement

In order to encourage car-pooling and significantly cut travel expenses, the conference will start at noon on Monday, October 3, and end at 2 pm on Wednesday, October 5. Center and MAEE meetings will be held during these times and no other meetings will be scheduled immediately before and/or after the conference.

We have asked Regional Directors to coordinate car-pooling and travel from the Regional Extension Offices. The program conference budget will reimburse travel that has been coordinated through the Regional Extension Offices and falls within the time frame of the conference.

Exceptions

If there are extenuating circumstances that need to be considered, please discuss with your supervisor. Your supervisor will need to approve alternative plans both beforehand and on your subsequent reimbursement form.

Reimbursement Procedure

Please fill out a standard employee expense reimbursement form. Do not include other travel on this form.
